This chapter contains all important issues which must be regarded during the whole project process.

Project manual

The project manual serves as the central document for the project and must be continuously maintained.

Reporting and documentation requirements

Because of the reporting and documentation requirements the whole project process is traceable for external project members. Individual documents and their mailing lists, which have to be created, are explained in more detail in the chapters "project definition phase" and "design/implementation phase".
The mailing list of each document has to be predefined. It has to be defined who gets which document at what time. It has also to be set in which way the relevant people have to acknowledge the receipt of the documents.

Versioning

Another point which has to be regarded for each file is the versioning. This is helpful in case of data leakage in order to re-establish an alter version. Versioning can either be done by file versioning or by renaming the files, including the date or a version number.

Backup

A backup on a physically different server or location serves also as a versioning of data protection.

E-Mail traffic

Especially in projects with external companies agreements are often communicated by e-mail. Due to this fact it is very important to regularly archive mails. This is to prevent agreements from being denied or that demands that were not explicity declared are asked for. The mail storage file has to be archived in the \Mail_storage folder.
